This Corporate Complaint Policy establishes the formal process for organizations, business customers, government bodies, institutions, vendors, marketplace sellers, logistics partners, manufacturers, and other corporate stakeholders to submit official complaints relating to GVKART.SHOP, an online marketplace operated by GV Systems Technologies Private Limited. This policy is intended for business-to-business (B2B) or institutional complaints and is separate from the standard customer grievance process.
1. Purpose
The purpose of this Policy is to provide a structured, transparent, and accountable mechanism for receiving, investigating, and resolving corporate complaints in a timely and professional manner while maintaining confidentiality and compliance with applicable laws.
2. Scope
This Policy applies to complaints submitted by registered businesses, corporate customers, government organizations, educational institutions, suppliers, authorized sellers, distributors, logistics providers, payment partners, technology partners, and other commercial entities that interact with GVKART.SHOP.
3. Complaint Categories
Corporate complaints may relate to contractual disputes, purchase orders, bulk orders, invoices, payments, settlement delays, seller onboarding, procurement issues, service-level commitments, intellectual property concerns, product authenticity, privacy, cybersecurity incidents, regulatory compliance, or any other business relationship with GVKART.SHOP.
4. Filing a Corporate Complaint
Corporate complaints should be submitted in writing through the official complaint channel. The complaint should include the organization name, authorized contact person, email address, phone number, registered address, reference numbers such as purchase orders or invoices where applicable, a detailed description of the issue, supporting documents, and the resolution sought. Incomplete submissions may require additional clarification before investigation begins.
5. Investigation Process
Upon receipt, the complaint will be acknowledged and assigned to the appropriate department. Depending on the nature of the issue, GV Systems may coordinate with internal teams, marketplace sellers, logistics providers, payment partners, legal advisors, or other relevant stakeholders. Additional information may be requested to facilitate a fair and thorough review.
6. Resolution and Escalation
Every effort will be made to resolve complaints within a reasonable period. Where a matter cannot be resolved at the operational level, it may be escalated to senior management or the Legal and Compliance Department for further review. Complex contractual or regulatory matters may require additional time.
7. Confidentiality
All corporate complaints and supporting documentation will be treated as confidential and used solely for investigation, dispute resolution, legal compliance, and service improvement, except where disclosure is required by law or judicial process.
8. False or Malicious Complaints
GVKART.SHOP reserves the right to reject complaints that are knowingly false, misleading, abusive, frivolous, or submitted with malicious intent. Submission of fraudulent information may result in legal or contractual action where appropriate.
9. Governing Law
This Policy shall be governed by the laws of India. Any disputes arising from this Policy shall be subject to the jurisdiction of the competent courts in Bengaluru, Karnataka, unless otherwise agreed in writing.
